5. Job application and employment
If you send us information in connection with a job application, we may keep it for up to three years in case we decide to contact you at a later date.
If we employ you, we collect information about you and your work from time to time throughout the period of your employment. This information will be used only for purposes directly relevant to your employment. After your employment has ended, we will keep your file for six years before destroying or deleting it.
6. Sending a message to us
When you contact us, whether by telephone, through our website or by e-mail, we collect the data you have given to us in order to reply with the information you need.
We record your request and our reply in order to increase the efficiency of our business. We keep personally identifiable information associated with your message, such as your name and email address so as to be able to track our communications with you to provide a high quality service.
7. Complaining
When we receive a complaint, we record all the information you have given to us. We use that information to resolve your complaint.
If your complaint reasonably requires us to contact some other person, we may decide to give to that other person some of the information contained in your complaint. We do this as infrequently as possible, but it is a matter for our sole discretion as to whether we do give information, and if we do, what that information is.
8. Contact forms
Our website host, WordPress, does not automatically provide a contact form for us to capture your details when you sign up to our e-newsletter.
We use a third-party provider, Jotform, to provide us with a contact form ‘plugin’. They are GDPR compliant and you can read their Privacy Policy here. We do not use your details from Jotform for marketing activity other than that specified e.g. you have signed up to our newsletter or you wish for us to communicate with you about your event or your coaching. We will hold your data on Jotform for 6 years from when you complete the form and then we will delete it. We will transfer that information onto our CRM system for the purposes of running the business where it is reasonable to do so. We will also transfer that information to our accounting system, Brightbook, if you are a client.

9. Mailing Lists
You can sign up on our website for our monthly e-newsletter and you can also ask to added to the mailing list by giving your express consent – verbally or in writing – via telephone, email, filling in a form, handing in your business card to a prize draw at an event where we have made it clear you are consenting to be put on our mailing list.
As part of the registration process for our monthly e-newsletter, we collect personal information. We use that information for these reasons: to tell you about what’s happening in the business and give you tips and advice about speaking and comedy; to contact you if we need to obtain or provide additional information; to check our records are right and to check every now and then that you’re happy and satisfied. We don’t rent or trade email lists with other organisations and businesses.
We use a third-party provider, Campaign Monitor, to deliver our newsletter. We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our e-newsletter. You can unsubscribe to e-newsletter mailings at any time by clicking the unsubscribe link at the bottom of any of our emails or by emailing Celia Delaney on celia@celiadelaney.co.uk.
We may also transfer your newsletter information (name, email) to our CRM system. See CRM systems for more information.
10. CRM Systems
We use an electronic CRM (Customer Relationship Management) system. This is so we can keep accurate records or our prospects, customers, suppliers, associates, affiliates and networks. As mentioned in section 3 above, we may process information on the basis there is a legitimate interest, either to you or to us, of doing so. We review the information we hold in our CRM system every now and then and will delete any contacts we deem to be no longer relevant to the running of the business.

11. Accounting Systems
We keep records of our clients and suppliers in order to issue invoices, collect payments, and carry out bookkeeping and financial management of the business. To do this, we use a third-party provider, Brightbook. You can view their Privacy Policy here.
